1. Booking and Payment
Your booking will be confirmed on receipt of written instruction from you that you wish to proceed. This can take the form of an email. Once the booking is confirmed the deposit of £100 is due. This deposit is non-refundable. Your balance will be due one calendar month before your event. If the booking is made less than one month before the event the full balance is payable at the time of booking.
2. Cancellation and Alterations
Once the booking is confirmed the deposit (or full balance if booking within one month of event) is due even in the event of cancellation. Please note that the full balance must be paid unless you have contacted us before the due date, even in the event of alterations or cancellation. All cancellations must be notified in writing.
The date, time and duration of your booking are specified on your booking form or invoice. If you wish to change the date/time or extend your booking please contact us as soon as possible to check our availability.
If we agree to change the length of your booking more than one month before your event the price will be adjusted accordingly. We are generally unable to stay for unplanned extra time on the day – if you think you may need extra time please talk to us in advance.
If, after making your booking, you decide to change from the quartet to a smaller ensemble a cancellation fee will be applied to cover the cancellation of the musicians.
3. Music
Your music choices must be submitted at least one month before your event.
4. Videos
We are happy for your videographer or individual guests to record us playing for short periods (up to around 5 minutes). We will not permit anyone to take continual footage of us for longer than this unless you have obtained our agreement in advance. Any recordings are for private use only.
5. Outside performances
Wherever possible we are happy to perform outside. This is dependent on the weather conditions on the day and is entirely at the discretion of the musicians as adverse temperatures and damp/wet conditions can damage the instruments. High winds can also make it impossible for us to play outside.
6. Breaks
Our fees are based on the total hired time, not the total playing time. We generally take a 10 minute break every couple of hours and try hard to minimise this in order to keep the music as continuous as possible. We are happy to time any breaks to suit your event.
7. Refreshments
If we are playing for two hours or more we ask that refreshments (just tea/coffee/a soft drink) can be made available. We would appreciate it if this can be cleared with the staff at your venue beforehand so that we can avoid bothering you on the day.
8. Unforeseen Circumstances
In the rare event that circumstances which we could not, with all due care, foresee or avoid, prevent us from fulfilling your booking we cannot accept responsibility or pay any compensation, refunds, costs or expenses. On the rare occasion that one or more of the quartet is unable to be present (for example because or illness), we will provide a replacement of equal musical standing and experience.
9. Arrival time
We will arrive at your venue approximately 30 minutes before we are due to start playing. If you need us to arrive earlier an extra fee may be payable.
